Privacy Policy
Scoped turns a tradesperson's spoken job notes into a structured, sendable quote. This policy explains what information the app collects to do that, who it's shared with, how long it's kept, and the choices and rights available to you.
Who this policy covers
Scoped is built for tradespeople — plumbers, electricians, builders, and similar trades — to record a voice note on site, have it turned into a structured quote, and send it to a customer as a PDF. This policy covers two groups differently:
You, the account holder — the tradesperson who downloads Scoped, creates an account, and uses it to run quotes. Most of this policy is about you.
Your customers — the people you create quotes for. You enter their name and contact details into the app; they don't sign up for Scoped themselves. Section 3 explains our role for their data specifically.

Information we collect
We only collect what the app needs to turn your voice notes into quotes and get them to your customers.
Account information — your email address and password, or — if you choose to sign in that way instead — your name and email address from Google or Apple. Passwords are never visible to us; they're handled by our authentication provider.
Business profile — business name, trade type, address, phone, email, website, VAT number, and logo, all entered by you in onboarding or Settings. Also your default tax rate, and the names and day rates of any staff members or materials you add to speed up quoting.
Voice recordings and transcripts — the audio you record describing a job is uploaded and sent for transcription, then the resulting text is used to draft your quote's line items. Both the audio file and its transcript are kept as part of that job's record — see Section 7 for how long.
Photos — site photos you choose to attach to a job, optionally included in the quote PDF you send.
Quote and customer records — customer name, contact details, and address; line items, quantities, prices, tax, and totals; and the status you mark a quote as (sent, viewed, accepted, declined). There's no tracking pixel or read-receipt on sent quotes — every status is set manually by you when a customer responds off-app.
Payment and subscription information — if you subscribe, our payment processor (Stripe) handles your card details directly — we never see or store your full card number. We keep only your subscription status and Stripe's own customer/subscription reference IDs, so we know what plan you're on.

We don't use any advertising or analytics tracking SDKs in the app, and we don't collect your location.
If you're a tradesperson's customer
If a tradesperson has entered your details into Scoped to send you a quote, you're not a Scoped account holder, and this is the relationship that applies to you: the tradesperson is responsible for your data (what's often called the "data controller"), and Scoped simply provides the infrastructure they use to store it and generate your quote (acting as a "data processor" on their behalf). If you have questions about your information, or want it corrected or deleted, the tradesperson who sent you the quote is the right person to ask — we act on their instructions for that data.
How we use it
To transcribe your voice notes and structure them into draft quote line items.
To generate and let you send branded PDF quotes to your customers.
To run your account: authentication, storing your business profile and quote history, and enforcing the free-quote allowance or your subscription.
To process subscription payments and keep your billing status current.
To fix bugs and keep the service reliable — we don't use your data to build advertising profiles or sell it to third parties.
Who we share it with
We use a small number of specialist providers to run the app, each of whom only receives what they need to do their specific job:

We don't sell personal information, and we don't share it with anyone for their own marketing purposes.
Where data is stored
Your data is hosted in the United Kingdom (London). OpenAI and Stripe, who we share limited data with as described above, are US-based companies and process data under their own applicable safeguards. Where data does leave the UK, it's only ever the minimum needed for that provider's specific function.
How long we keep it
We keep your account, business profile, and quote data for as long as your account is active, so your quote history and price lists remain available to you. Recordings and transcripts are kept as part of the job they belong to, in the same way.
Deleting an individual quote removes its line items, but the original recording and transcript may be retained as part of the underlying job record. You can delete your account entirely at any time from Settings → Delete account — this permanently removes your business profile, every quote, customer, voice recording and photo, and cancels your subscription if you have one. It can't be undone, and there's no recovery period once confirmed.
Your rights and choices
Depending on where you live, you may have rights over your personal data, including the right to:
Access the personal data we hold about you.
Correct inaccurate data — most of your own profile and quote data you can edit directly in the app.
Request deletion of your data or account — you can do this yourself in Settings, or contact us.
Request a copy of your data in a portable format.
Object to or restrict certain processing.
To exercise any of these, contact us using the details in Section 12. If you're in the UK and unsatisfied with our response, you can complain to the Information Commissioner's Office (ICO).
Security
Data is encrypted in transit between the app and our servers. Access to each business's data is restricted at the database level so one account can never see another's quotes, customers, or files. Access to production systems is limited to what's needed to operate the service. No method of storage or transmission is 100% secure, but we work to protect your information using industry-standard practices.
Children's privacy
Scoped is a business tool for tradespeople and isn't directed at, or knowingly used by, children. We don't knowingly collect personal data from anyone under 16.
Changes to this policy
We may update this policy as the app changes. If we make a material change to how we handle your data, we'll highlight it in the app rather than relying on you checking this page. The "last updated" date at the top always reflects the current version.
